The Grants Associate is a key member of the Community Investing and Development (CID) Operations and Business Management team, primarily supporting the Citi Foundation. The CID group works to enhance Citi’s positive social impact through strategic philanthropy, equity investing, and innovative financial solutions. The Foundation works to promote economic progress and improve the lives of people in low-income communities around the world. Reporting to the SVP, Grants Management, the Associate will have specific responsibility for information and reporting system management, as well as the processing and management of Citi Foundation grants.

Key Responsibilities:

Grants Administration (50%):

  • Ensure grants are in compliance with IRS and Foundation-specific regulations by performing due diligence and completeness review of grant applications and liaise with applicants, Foundation program officers, and Citi colleagues worldwide to ensure grants meet Foundation requirements
  • Assist in the coordination of grantee onboarding and grant payment processes
  • Respond to Foundation-related and grant-specific inquiries from current and prospective grantees and from Citi colleagues
  • Prepare approved grants for Community Reinvestment Act (CRA) verification
  • Liaise with senior staff to analyze, document, and address any compliance-related concerns or issues, as appropriate
  • Maintain and analyze Foundation policies and procedures to ensure risks and controls are properly addressed and that Foundation staff understands and adheres to them
  • Drive improvement and efficiency of grants administration processes
  • Create and provide system and grant process training to grant applicants and Citi colleagues as needed

Information and Database Management (40%):

  • Prepare and provide data for internal and external purposes
  • Support administration of the Citi Foundation’s grants management system (Fluxx), including the design, creation, and maintenance of forms and workflows, external portal and internal dashboards, and process documentation
  • Ensure excellent user experience, including by providing high-quality customer service, responsive technical support, and timely problem resolution
  • Drive ongoing technology improvements; explore, test, and implement new system functionalities; and proactively identify opportunities to streamline and simplify technology-enabled processes
  • Ensure integrity and quality of grant data and coordinate responsiveness to internal and external reporting requirements

Operations Administration (10%): 

  • Support adherence to Citi compliance requirements and initiatives such as audits, Anti-Bribery & Corruption approvals, Information Security, Continuity of Business, and Records Management
  • Assist as needed with operations workstreams supporting other CID units, including U.S. Community Relations
  • Support other departmental needs and manage special projects on an ad hoc basis

Qualifications:

  • Bachelor’s degree, and 3+ years of related work experience in philanthropy, corporate social responsibility, or related field, or in a financial, operational, or similar administrative role in a high-volume, fast-paced, audit-ready environment
  • Experience with Fluxx or other grants management software, ideally as an administrator  
  • Detail-oriented, organized, and able to prioritize and multi-task
  • Excellent communication skills, both written and oral; customer service mindset
  • Excellent organizational and time management skills
  • Able to work with staff to problem solve and troubleshoot general inquiries
  • Outstanding problem solving and analytic capabilities; skilled at analyzing, interpreting, and using data to collaborate, identify best practices and areas for improvement, and drive results
  • Highly proficient in MS Office (Excel, Word, Outlook, and PowerPoint) and ability to quickly learn new software programs. Advanced Excel and data analysis skills are preferred.
  • Team player with an entrepreneurial, solution-oriented mindset and a keen ability to prioritize

Primary Location Full Time Salary Range:

$98,960.00 - $148,440.00
