Executive Assistant to Chairman of the Supervisory Board
Responsibilities:
Directly support Chairman of the Supervisory Board
Manage day to day calendar(s) of the Chairman of the Supervisory Board
Coordinate all aspects of executive level appointments, meetings, receptions and conference calls
Prepare and review materials and correspondence for meetings
Assist with creation/modification of presentations, spreadsheets, and other various documents
Coordinate travel arrangements; prepare and distribute schedules/agendas for travel
Order supplies and process invoices
Assist in ad hoc reports special projects
Serve as back up support for administrative staff when required
Prepare and review materials for senior management’s use in discussions and meetings
Prepare minutes of selected meetings
Coordination of high profile events like conferences, general shareholders’ meetings
Qualifications:
Bachelor's/University degree
Solid office administration experience within a large and complex financial services or similar multinational organization
At least 15 years of senior level executive administration experience
Highly proficient in Microsoft Office
Consistently demonstrates clear and concise written and verbal communication skills
Self-motivated and detail-oriented
Excellent organizational skills and ability to work proactively without close supervision
Ability to organize and coordinate multiple tasks at once
High level of maturity
Problem-solving attitude
Fluent speaking and written English and Polish
